Privacy Policy

In this Privacy Policy, "personal information" means personal information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information of Japan.

In providing the App, we may obtain personal information to the following extent.

• Authentication information arising from signing in to a memon account (email address, account identifier)
• Information on memon entitlements, used to determine whether paid features are unlocked
• Per-device identifiers required to manage the limit on the number of signed-in devices
• The content of inquiries you send us
• Access logs of the official website

The App can be used with every free-tier feature without signing in. In that case we obtain no personal information.

We use the personal information we obtain for the following purposes.

• Providing, maintaining and improving the App
• Determining whether paid features are unlocked
• Managing the number of devices signed in
• Responding to your inquiries
• Delivering important notices concerning the App
• Understanding how the official website is used (Article 7)

Except where required by law or in other cases permitted by law, we do not provide personal information to third parties without your consent.

In providing the App we entrust the handling of personal information to the following parties. Both are located in the United States, and contractual protective measures under a data processing agreement are in place.

• Google LLC (Firebase): authentication infrastructure for memon accounts
• Cloudflare, Inc.: delivery and access analytics for the official website

Parties entrusted with billing and payment are as set out in the privacy policy of memon.

Audio recorded by the App, its transcripts, speaker names, lists of names and terms, notes, attached images and their settings are stored only within your device. They are neither transmitted to nor retained on our servers.

Transcription, speaker separation and the extraction of names and terms take place within your device, using on-device features that Apple builds into macOS and models that run on the device.

As we never obtain the content of your recordings, we do not use it for analysis or for training any model. The App records only when you start a recording.

If you choose to send a transcript to memon as a note, its content is passed to the memon desktop app running on the same device. From then on it is handled under the privacy policy of memon.

We take the necessary and appropriate measures to prevent leakage, loss or damage of personal information and to otherwise manage it securely. Communications are carried over encrypted channels.

The App communicates externally only in the following cases. None of these communications contains recorded audio or transcripts.

• Signing in to memon and checking your licence (only if you sign in)
• Connecting to kodama-app.tuzuru.io to check for updates (this can be turned off in the App's settings)
• Downloading the speaker-separation model on first launch (a connection to servers operated by Hugging Face, Inc.)

What we obtain from the update check is limited to ordinary access logs. When the model is downloaded, your IP address and similar information are recorded by Hugging Face, Inc. as ordinary access logs.

The official website uses Cloudflare Web Analytics to understand how it is used. That service does not use cookies and does not collect information that identifies an individual. We do not use advertising cookies or cross-site behavioural tracking on the official website.

Requests for disclosure, correction, suspension of use or deletion of retained personal data may be made to the contact in Article 10. After confirming your identity we will respond in accordance with the law.

Account deletion is performed on your memon account page. After deletion, the paid features of the App return to the free tier.

We may change this Privacy Policy in line with changes in law or in our business. The changed Policy takes effect when it is posted on our website.

This Privacy Policy is governed by the laws of Japan. The Tokyo District Court shall have exclusive jurisdiction as the court of first instance over any dispute arising out of or relating to this Privacy Policy.
